Private Aircraft Annual Inspection Budget Guide
The quoted inspection package is not the full budget. Owners also need reserves for discrepancies, parts, labor escalation, travel, positioning, downtime, and return-to-service work.
Separate the base event from findings
Ask the maintenance provider to distinguish the inspection package, mandatory scheduled items, optional work, expected consumables, and discrepancy labor. The base quote should not be treated as the final cost.
Build a discrepancy reserve
Use aircraft age, utilization, maintenance history, prior findings, environment, and upcoming life-limited components to size a contingency. A range is more useful than a single optimistic number.
Account for downtime
Model hangar, repositioning, substitute charter or airline travel, crew scheduling, owner disruption, and missed utilization. Downtime can become a major economic cost even when the maintenance invoice is controlled.
Verify records before induction
Organize logbooks, airworthiness directives, service bulletins, component times, damage history, prior work orders, warranty records, and deferred discrepancies. Missing records can delay planning and increase uncertainty.
Control scope changes
Require written estimates and approval thresholds for additional work. Ask for photographs, test results, part numbers, labor hours, and clear classification of airworthiness items versus recommended improvements.
Plan the next cycle
After return to service, update the maintenance forecast, reserve schedule, component timeline, warranty file, and ownership budget using actual costs and findings from the event.
